Manage Organization Members and Knowledge

Overview

Organization owners manage members and knowledge in Settings. Producer and consumer describe responsibilities in these guides, not system roles. A producer configuring agents does not necessarily have organization management permission.

Click your profile in the lower-left corner to open Settings. Use permission settings for members and organization knowledge for shared business facts and rules.

Manage Members

Owners can view members and maintain their status. Supported environments also allow local member creation and role changes.

RoleDescription
OwnerManage organization members, knowledge, system integrations, and other organization-level settings.
MemberUse authorized resources. Agent and skill editing depends on resource-specific permissions.

In environments synchronized from BI accounts, the source account system manages member creation and roles. Local creation and role-editing actions are not shown. Contact its administrator for changes.

Where local member creation is supported:

  1. Open Settings and the permission settings, then add a member.
  2. Enter email, display name, and initial password in the organization-member dialog and submit as prompted.
  3. Confirm the member appears in the current organization and adjust the role if needed.

Filter and refresh to find members. Review account, source, highest role, validity period, and activity. Enable or disable a member to manage access status, then verify the result.

Joining an organization does not automatically grant every resource. See Publishing Permissions for agents. BI resources follow each member's BI permissions.

Manage Organization Knowledge

Organization knowledge stores shared business facts, terminology, rules, analysis/reporting standards, and examples. Owners maintain it. Once enabled, agents in the organization can retrieve it as needed.

  1. Open organization knowledge in Settings and create a topic.

  2. Enter the following, then create it:

    FieldDescription
NameA recognizable business topic, such as Revenue Recognition.
DescriptionApplicable scenarios so agents can decide when to retrieve it.
Markdown bodyVerified facts, rules, and examples.
  3. New topics are disabled by default. Review the content, enable the topic, and confirm its status.

  4. Edit and save changes as needed. Disable obsolete topics. Their content is retained and can be enabled again.

Important

Saved changes to enabled topics are immediately available to the organization's agents. Individual agents do not need republishing. Confirm applicability before changing shared definitions.

Put agent-specific information in Agent Knowledge and personal communication preferences in Personal Memory.
