Save and Share with Others

Overview

After a Dashboard is created, its visual content or underlying business data often needs to be shared with others for decision-making and communication.

For example, if you want to share the Product Category Analysis Dashboard with a sales manager, you can choose from four common sharing methods:

  • Permission Assignment: Grant Owner or Visitor permissions so the sales manager can sign in to Guandata BI and view the page.
  • Export: Export the Dashboard as a file, such as PDF.
  • Subscription: Subscribe to a Card or Dashboard and have the system send it on a scheduled basis by email, DingTalk, or similar channels.
  • Alert: Configure an alert so that when Card data meets a specific condition, the system sends a notification automatically.

This article uses all four methods and highlights Card Subscription as the main example.

Steps

  • Grant Dashboard Access: Open the Permission Management dialog and grant the sales manager Visitor permission.
  • Export the Dashboard as a File: Open the export view, configure the export style, and export the Dashboard as a PDF.
  • Create a Card Subscription: Subscribe to the Monthly Gross Profit Trend Card and configure a scheduled monthly delivery.
  • Create a Card Alert: Create an alert on the Top 10 Products by Sales Volume Card, for example when the monthly sales volume of a specific product drops below a threshold.

Grant Dashboard Access

  1. On the Dashboard page, open the More menu and click Permission.

  2. Add the sales manager as a Visitor.

Permission meanings:

  • Owner: Has read and write permissions and can edit Dashboard content.
  • Visitor: Can only view the Dashboard and perform ad hoc analysis such as Linked Interaction, Drill Down, and filtering.

Export the Dashboard to PDF

On the Dashboard page, open the top Export dropdown and choose Export to PDF to save the Dashboard locally as a PDF file.

Share Through Subscription

In this example, the goal is to send the monthly gross profit report to the sales manager on the last day of each month through DingTalk.

Create a Subscription

Open the page-level More menu and choose Create page subscription.

Configure the Subscription

Manage and View Subscriptions

After the subscription is created, the system opens the Subscription Plan page, where you can manage all your subscriptions. You can also manually trigger a send for testing.

Notify Through Alerts

Create an Alert

Open the ... menu of the Category Sales Breakdown Card and choose Alert.

Configure the Alert

Manage and View Alerts

After the alert is created, open the Alert Center from the Dashboard More menu to review and manage all configured alerts.
